TherapyForm AI is positioned as a **drafting assistant**, not a clinical decision tool. Each form includes a built-in disclaimer that the clinician reviews and customizes before use — similar to how LegalZoom, TurboTax, and RocketLawyer operate in adjacent regulated spaces. The practitioner remains the author of the final document. Most malpractice insurers do not differentiate between forms drafted manually and forms drafted with AI assistance, provided the clinician reviews and takes ownership of the output.

What makes this different from just using a generic form builder?

Generic form builders (JotForm, Typeform, Google Forms) require you to build every question from scratch and have no clinical context. TherapyForm AI includes a library of 150+ clinically-informed templates mapped to common presenting concerns (anxiety, trauma, depression, substance use, etc.), with appropriate question sequencing, legally-required disclosures, and risk-screening logic built in. You customize the template to your practice rather than starting from a blank page.

Do I need to sign a BAA if I use TherapyForm AI?

Yes. HIPAA requires a Business Associate Agreement (BAA) between covered entities (your practice) and vendors that handle protected health information (PHI). TherapyForm AI provides a BAA as part of onboarding. All data is encrypted in transit and at rest, and we do not use client data to train models. If you terminate your subscription, we delete your data within 30 days per our data retention policy, which is outlined in the BAA.

How does billing work if I add or remove providers mid-cycle?

Seats are billed pro-rata. If you add a provider on the 15th of a 30-day month, you pay half the monthly rate for that seat. If you remove a provider, the seat deactivates at the next billing cycle and you are not charged for the following month. There are no cancellation fees or minimum terms on monthly plans. Annual plans are billed upfront at a 20% discount and are non-refundable after the first 30 days.

Can I export my forms and client data if I leave?

Yes. All form templates you have created or customized are exportable as PDFs at any time. If you cancel your account, you have a 30-day window to export data before deletion. Structured data exports (CSV/JSON) are available on Pro and Practice tiers. We do not hold your data hostage — that is a policy, not an upsell.

Does TherapyForm AI integrate with my existing EHR or practice management system?

Currently, TherapyForm AI operates as a standalone intake generation tool. We do not yet offer native EHR integrations. Forms can be exported as PDF or shared via secure link directly to clients before a session. We are evaluating EHR integrations (SimplePractice, CounSol, Halcyon) for a future roadmap. If your practice has specific integration requirements, contact us before subscribing to confirm fit.

What happens if a client refuses to complete intake forms digitally?

TherapyForm AI supports offline use. You can generate a PDF of any form, print it, and have the client complete it on paper — then upload a photo or scan to the client's record. The AI generation step remains the same; the delivery method is flexible. We do not require clients to use the platform directly, which is a common requirement for practices serving older adults or clients with limited digital access.
